Description

Within the scope of the tender, the procurement of a DMS system for data archiving, among other things, is aimed at. This includes software for document management, document administration, metadata administration and storage, electronic archiving of documents and other electronic information objects as well as IT technical support for the definition and processing of workflows related to documents.
This call for tenders is aimed at introducing an OnPremise-operated product solution for an Enterprise Information Management System. This includes software for document management, document administration, metadata administration and storage, electronic archiving of documents and other electronic information objects as well as IT technical support for the definition and processing of workflows with reference to documents or other documentation objects held in the system, and the necessary services for setup, configuration, training, documentation and rollout. For the sake of textual simplification, the term documents also includes information or documentation objects that do not correspond to the apparent document character. The product must support the management of records and processes for the administration of documents, whereby it must be possible to define records and processes both statically using a file plan and dynamically using collections of metadata and/or content.The product must contain the entire life cycle of a document from the creation and/or setting from third party systems, the administration, versioning, digital long-term archiving as well as DSGVO-compliant destruction both on the level of the document and its descriptive data and data structures.as one of the largest infrastructure operators in Germany, a main focus, in addition to the aforementioned requirements, is the possibility of geo-referenced searches of information and documents. Depending on the classification features of a document, a file or a process, the product must provide the possibility of integrated management based on geodetic data. The product must be integrated into the system landscape of the Autobahn GmbH of the federal government and function as a central exchange and access point for around 100 specialist applications and approx. 15,000 colleagues. The integration of the specialist applications is to be implemented in synchronous processes according to the current state of the art, provided that this is supported by the specialist application. The solution must be used at distributed locations and different stationary and mobile client workstations, but it must be possible to operate it as a central instance in a computer centre provided by the customer.
