Description
Université de Montréal (L'Université) is present in virtually every field of knowledge. With over 250 undergraduate programs and more than 350 graduate programs, it offers the widest range of educational opportunities in North America. The University's 15 faculties and schools cover all fields of knowledge, from music and natural sciences to law, humanities and health.
Objectives and implementation guidelines
UdeM wishes to acquire a specialized turnkey solution to modernize and standardize its student and research grant competition management processes, from the posting of available grants to the authorization of payments, including candidate selection, file validation and evaluator selection. The service contract will run for 5 years.
This acquisition is designed to meet the following five key business needs:
§ Support the display of stock exchanges
§ Support application management
§ Support application evaluation processes
§ Support evaluator management
§ Support award management
While providing features such as :
§ Decentralized access management (data and applications)
§ Dynamic, customized displays
§ Production of various statistics and related reports
§ Automatic, customizable notification engine
And all this in compliance with :
§ UdeM security principles, Quebec and Canadian laws on sensitive data, such as Bill 25
§ UdeM's francophone character.
Implementation is scheduled to start immediately after contract award in the ESP and SVÉ departments. For faculties and schools, implementation will be carried out progressively according to the availability of the units in question, with the support of super-users.
To be eligible to bid, bidders must meet the following requirements:
Ø Offer a SAAS solution (high availability and back-up managed by the service provider)
Ø SAAS solution must be hosted in Canada and/or Quebec
Ø The solution must be used by another university or another UdeM unit.
And meet the following criteria:
Ø Support the functionalities listed in Appendix A;
Ø Have a volumetric capacity of 400 contests and provide with the solution 40 contest templates. These templates will be used by users to create additional contests. During the term of the contract, the University reserves the right to request up to 60 additional contest templates.
Ø The solution must enable users to easily create additional competitions by copying templates from the 40 competitions already available.
Ø Provide training for administrators and super users. The service provider will have to train identified UdeM members in the proper use of their solution, so that they in turn can effectively pass on skills or knowledge to future users.
The Université de Montréal will not accept any of the tenders received.
